Terms of the Board
Board service is a rewarding way to support the Kingfish team! Each voting member of the Swim Team Board serves a two-year term beginning October 1st and covering one full summer swim season (June–July). There are no term limits. Members may serve consecutive or non-consecutive terms.
To maintain continuity, Board elections are staggered:
- In odd-numbered years, the “A” Meet Representative (Automation) and the “B” Meet Representative (Meet Management) are elected.
- In even-numbered years, the “A” Meet Representative (Meet Management), Volunteer Coordinator, and Treasurer are elected.
A Meet Representatives (A Reps)
The “A” Meet Rep(s) oversees the team’s A meets and overall swim operations, while also serving as President of the Kingfish Board.
A Meet Responsibilities:
- Represents the team at all MCSL meetings
- Understands and enforces MCSL rules and guidelines
- Supports the A Meet Rep (Automation) with meet technology and logistics
- Oversees planning and operations for all A meets, including:
- Meet setup and takedown
- Coordination of head timer, clerk of course, officials, and timers
Coach Liaison Duties:
- Serves as the primary point of contact between the Head Coach and Kingfish parents
- Communicates Board expectations to the Head Coach before and during the season
- Provides periodic performance evaluations to the Head Coach
- Participates as an ex-officio member of the Interview Committee when hiring coaches
Presidential Duties:
- Leads the Kingfish Board and oversees its ongoing work
- Presides over Board and Members meetings
- Coordinates the work of Board committees and task forces
- Serves as the main liaison to the Kentlands Citizens Assembly and related organizations (e.g., pool committees, HOA management, or pool management company)
- Handles other supervisory or management duties as assigned by the Board
- Serves as a voting member of the Kingfish Board (Elected in even-numbered years)
B Meet Representatives (B Reps)
The “B” Meet Rep(s) oversees the planning and operations of all B meets and serves as Vice President of the Board.
B Meet Responsibilities:
- Represents the team at all B League meetings
- Ensure B meet comply with Seneca B League Guidelines
- Coordinates the B meet schedule with other teams
- Works closely with the B Meet Automation lead
- Manages all logistics for B meets, including:
- Meet setup and takedown
- Coordination of head timer, clerk of course, officials, and timers
Vice President Duties:
- Supports the President with leadership and management tasks
- Takes on responsibilities as assigned by the Kingfish Board
- Presides over Board or Members meetings when the President is absent or requests it
- Serves as a voting member of the Kingfish Board (Elected in odd-numbered years)
A Meet Automation
The "A" Meet Automation ("A" Automation) plays a key role in managing the technical side of A meets and ensuring compliance with MCSL rules.
Key Responsibilities:
- Attends MCSL division meet prep meetings on behalf of the team
- Stays up-to-date on MCSL rules and guidelines
- Manages the meet software for all A meets (Swimtopia and Meet Manager)
- Coordinates with reps from other teams for dual meets, Divisionals, and A Relay Carnivals
- Prepares electronic meet heat sheets
- Records and submits meet results to MCSL
- Maintains and updates team records
- Monitors entries and swimmer sign-outs to ensure compliance with MCSL guidelines.
- Serves as a voting member of the Kingfish Board (Elected in odd-numbered years)
Volunteer Coordinator
The Volunteer Coordinator helps the team run smoothly by organizing parent volunteers and also serves as the Secretary of the Kingfish Board.
- Recruits and organizes parent volunteers for swim meet jobs, committees and other events
- Ensures adequate roster of MCSL Officials
- Organizes the smooth functioning of swim meets, in cooperation with key volunteers, Officials and parent volunteers
- Helps manage tryouts
- Documents board meetings and archives meeting minutes
- Serves as voting member of the Board and is appointed every two years
Treasurer
The Treasurer oversees the Kentlands Kingfish's finances and ensures transparency in budgeting and reporting.
Key responsibilities include:
- Prepares the annual budget
- Sets annual membership fees
- Shares financial updates at seasonal meetings
- Provides year-end financial statements to families
- Serves as a voting member of the Board (elected in even-numbered years)
