Key Volunteer Descriptions
Key volunteer positions require some training and ideally, a two-year commitment. Let us know if you're interested in shadowing someone in a key position.
Team Manager - Appointed by the Board for a two-year term. When possible, the TM will be the outgoing President or A Rep to provide support to a new A Rep and ensure organizational memory. The Team Manager is responsible for the overall management of the internal team operations, including: coordinating swimmer registration and fee collection, organizing the coaching committee and outreach to applicants, procuring insurance for the team, managing SSL hours for CITs, acting as a liaison between the KCA and the Swim Team, ensuring capital equipment is in working order and making recommendations to the Board for team purchases. The Team Manager will also help coordinate regular updates to the Swim Team’s Operating Principles and Bylaws.
B Automation Coordinator - Works closely with Verifiers, Meet reps, and Coaches. Before each meet, Automation collaborates with home Coaches and Automation of the visiting team to create and upload the files for seeding the meet events.They also use system software to print and organize the timer sheets used for each event. During home meets, Automation works closely with Verifier(s) to record swim times of each athlete, print results for score board, and generates placement/time stickers for Ribbon Writers.
Concessions Coordinators - Coordinate all concessions sales, including the selection, purchase of, pricing, and sales of food and beverage concession items at swim meets and other community events and be responsible for the provision of water for officials at all home meets.
Merchandise Coordinators - Coordinate the selection, pricing, and sale of Swim Team merchandise, including team swimsuits, and select and coordinate end-of-season trophies and special team awards.
Social Events Coordinators - Coordinate social events, including, but not limited to, Friday pep rallies and pre-season events.The Social Events Coordinators also select a photographer for team photos and manage the team photo process and assist the Banquet Coordinator/Committee with the end-of-season banquet.
Communications Coordinator - Responsible for disseminating information on Swim Team activities to parents and swimmers, which may include, but are not limited to, a weekly newsletter distributed via the team website/email system, social media posts and any other Swim Team communications as may be requested by the Board, coaches or key volunteers.The Communication Coordinator is also responsible for updating and maintaining the Swim Team's website; updating and organizing the family folders; publication of the newsletter; publication of articles in the Kentlands Town Crier; and updating the Clubhouse bulletin board.
Fundraising Coordinator - Oversee all fundraising activities for the Kingfish, including the identification, solicitation, and support of sponsors. This includes the production of banners, team tie-dye t-shirts, and recognition of all sponsors at swim meets and team functions, collection of sponsorship fees and delivery of fees to the Treasurer.
Little Kingfish Coordinator - Assists with the management and support of the Little Kingfish program. Duties include: supporting the Board in recruitment of new LK swimmers (including posting announcements around the community and at schools during early spring and helping create exposure at community events); orientation of new families to the program; serving as point of contact for questions from families; assisting with registration of new families; and helping to recruit LK coaches and ensuring that they receive SSL hours for volunteering.
